Call for the AESOP Repository Manager and Editorial Assistant

Background

The AEKOM Project from AESOP has entered the technical implementation stage, when the main pillars of the infrastructure for scholarly communication, which include an institutional repository and a journal management system, are being set up.

In order to ensure repository management and efficient editorial workflows, AESOP plans to hire a competent individual who will assume the role of a repository manager, along with providing technical support to the editorial teams of the journals PlaNext and Transactions.

The Repository Manager and Editorial Assistant should promote the discoverability, visibility and accessibility of AESOP’s research outputs and ensure that research outputs are made available according to the principles of Open Science and in full respect of copyright and related rights.

 

Principal Duties

●      Maintaining and developing AESOP’s institutional repository using Open Preprint Systems:

- Identifying content that should be archived in the repository (in collaboration with AESOP members and bodies);
- Creating metadata records and uploading content to IR;
- Creating and organizing collections;
- Managing users and user privileges for IR (granting deposit rights to AESOP members, assigning roles to users);
- Reviewing submissions/deposits by users, accept, reject or edit submissions/deposits;
- Ensuring compliance with copyright and related rights;

●      Managing editorial workflows using Open Journal Systems in collaboration with the editorial teams of the two journals.

●      Implementing, documenting, and maintaining effective quality control standards to ensure content is accurate, reliable, and added in a timely manner (esp. ensure metadata consistency and accuracy, as well as the quality control of metadata through clear procedures and mechanisms);

●      Liaising with external and internal service providers (esp. aggregators such as OpenAIRE, BASE, CORE) to identify and resolve technical faults and make improvements;

●      Responding to enquiries from AESOP members about a variety of topics including the repository, publishers’ policies (esp. self-archiving policies), embargo periods, funders’ policies, copyright, and licensing;

●      Providing support and training for AESOP members, including creation of training materials, and the delivery of online training;

●      Assistance in developing practice and policy in collaboration with the relevant bodies of AESOP;

●      Maintaining an understanding of developments in scholarly communication, research data management and open access publishing and advise on their relevance and application within AESOP. 

Person specifications

●      Relevant professional qualification (e.g. Library and Information Science) OR relevant work experience;

●      Experience of managing metadata, bibliographic data or of cataloguing;

●      Experience of using Open Preprint Systems or repository software;

●      Experience in using Open Journal Systems;

●      Experience of training/teaching;

●      Experience of working in a relevant research or publishing environment;

●      Knowledge of current issues associated with the management of research outputs in universities, research organizations and the library and information world;

●      Demonstrable understanding of the principles of Open Access;

●      Understanding of copyright legislation and licensing in the context of research and academic publishing;

●      Ability to deliver training using web platforms;

●      Administration and accurate record-keeping using text processing, data entry, spreadsheets, databases and web-based systems;

●      Ability to communicate using a range of media.

 

Hours: 30 hours per month

Remuneration: EUR 700 per month

Reporting to: AESOP Journal Editors and AESOP Secretary General
